We are seeking a highly organized, proactive, and professional Executive Secretary to provide high-level administrative support to senior management. The ideal candidate will be detail-oriented, discreet, and capable of managing multiple priorities in a fast-paced corporate environment.
Key Responsibilities
- Provide comprehensive administrative and secretarial support to executives and senior leadership
- Manage calendars, schedule meetings, and coordinate appointments
- Prepare, edit, and format reports, presentations, and correspondence
- Handle confidential documents and maintain organized filing systems
- Coordinate travel arrangements, including flights, accommodations, and itineraries
- Act as a liaison between executives and internal/external stakeholders
- Organize meetings, take minutes, and follow up on action items
- Screen and direct phone calls and emails professionally
- Maintain office supplies and ensure smooth day-to-day office operations
- Assist in special projects and perform other administrative duties as assigned
Requirements
- Bachelor’s degree in Business Administration or related field preferred
- Proven experience as an Executive Secretary, Executive Assistant, or similar role
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills in English (Arabic is a plus)
- Exceptional organizational and time-management skills
- Ability to handle sensitive information with confidentiality and professionalism
- Strong multitasking and problem-solving abilities
- Professional demeanor and interpersonal skills
Preferred Qualifications
- Experience working in a corporate or multinational environment
- Knowledge of office management systems and procedures
- Familiarity with business correspondence and report writing
