EXECUTIVE ADMIN

POSITION SUMMARY

The Executive Business Partner (Executive Admin) is responsible for supporting firm leadership while building, organizing, and optimizing the internal structure and day-to-day operations of the business. This role goes beyond traditional administrative support and requires a proactive, systems-oriented individual who can create processes, improve workflows, and ensure operational efficiency across the firm. The Executive Admin serves as a key partner to leadership, helping stabilize operations, enhance communication, and support the firm’s continued growth.

OBJECTIVES

  • Serve as a strategic partner to the CEO, proactively supporting priorities across marketing, operations, and key business initiatives
  • Prepare executive-level agendas, capture detailed meeting notes, and drive accountability by tracking action items through completion
  • Lead and execute strategic projects on behalf of the CEO, ensuring timelines, deliverables, and cross-functional coordination are achieved
  • Draft, format, and proofread high-quality documents, correspondence, and internal communications on behalf of leadership
  • Design, implement, and continuously improve office systems, workflows, and standard operating procedures to enhance organizational efficiency
  • Identify operational inefficiencies and recommend scalable process improvements across daily business functions
  • Support onboarding processes by coordinating logistics and maintaining accurate internal documentation and systems
  • Manage complex scheduling across client meetings, hearings, depositions, and internal leadership commitments
  • Maintain and organize digital and physical filing systems to ensure accessibility, accuracy, and compliance
  • Support financial administrative functions including invoicing, expense tracking, and vendor coordination
  • Act as a central liaison between executive leadership, legal staff, and administrative teams to ensure seamless communication and execution
  • Uphold strict confidentiality, professionalism, and compliance standards across all executive and administrative activities

EDUCATION AND EXPERIENCE

  • Minimum of 3 years of executive administrative or operations support experience required
  • Experience with Claude and AI software
  • Experience in a legal or professional services environment preferred
  • Proficiency in Microsoft Office Suite including Word, Excel, and Outlook required
  • Experience creating or improving systems and processes strongly preferred
  • Strong organizational and communication skills required

PHYSICAL REQUIREMENTS

  • Ability to work in an in-person office environment
  • Ability to perform computer-based tasks for extended periods
  • Ability to manage multiple responsibilities in a fast-paced setting

Pay: $64,918.38 - $75,000.00 per year
