Role Overview | The role will play a central role in ensuring smooth coordination across on-boarding, training operations, reporting, field deployment, and audit readiness. This role requires excellent organisation, communication, and follow-through, ensuring all processes run efficiently and promoters receive timely support across their life cycle.
Key Responsibilities
1. Onboarding & Documentation
- Manage end-to-end on-boarding documentation including offer letter release, rules sheet, and sharing training links. • Coordinate background verification, creation of ID cards (soft + physical), and deployment intimation.
- Maintain updated records of joiners, deployment locations, and compliance documents.
2. Training Administration
- Coordinate weekly and monthly training schedules with Trainers and Zonal teams.
- Track attendance for all online and offline sessions and maintain training logs.
- Support the execution of monthly assessments, score consolidation, and record management.
- Ensure training materials (pitch docs, catalogues, lab reports) are regularly updated and circulated.
3. Buddy System Coordination
- Assign Buddies to new joinees and communicate responsibilities. • Ensure availability of training kits at Buddy stores (T-shirt, catalogues, product documents, etc.).
- Track the Buddy’s 15-day follow-up and ensure structured feedback from both sides.
4. Reporting & Data Management
- Oversee daily, weekly, and monthly reporting formats and ensure timely submissions from all zones.
- Maintain centralised folders for stock images, attendance, sales reports, and promoter trackers.
- Ensure accuracy of data shared with management and support dashboard preparation when required.
5. Store Visit & Feedback Coordination
- Collect store visit feedback from Trainers and Audit teams and document it systematically.
- Ensure every promoter receives minimum mandatory feedback entries per month.
- Share insights with relevant team members for corrective action.
6. Stock, Merchandising & Asset Tracking
- Ensure timely distribution of merchandising assets such as T-shirts, neck ties, brochures, and sample inventory.
- Maintain a tracker for issuance, pending requirements, and replenishment cycles.
7. Churn & Deployment Support
- Maintain a live churn tracker with reasons, dates, and replacement status.
- Coordinate replacement requests with hiring partners and ensure timely closures.
- Update deployment changes across the system and notify all concerned stakeholders.
Key Skills & Requirements
- Graduate with 2–4 years of experience in Admin, Operations, HR Coordination, or FMCG/Retail field support roles.
- Strong command over Excel, Google Sheets, and basic reporting tools.
- Excellent communication and coordination skills across teams and external agencies.
- Detail-oriented, highly organized, and comfortable managing multiple priorities.
- Ability to work in a fast-paced, multi-location environment.
