Job Summary
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team! Responsibilities
- Manage and coordinate executive calendars, appointments, and meetings with precision and attention to detail.
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette.
- Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office and Google Workspace tools.
- Assist with data entry, filing, document management, and maintaining accurate records to support office operations.
- Support bookkeeping tasks including basic bookkeeping using QuickBooks, Microsoft360 Dynamics Business Central and tracking expenses or invoices as needed.
- Provide personal assistant duties such as travel arrangements, calendar management, and task prioritization for executives.
- Offer exceptional customer service support to internal teams and external clients or vendors.
- Maintain confidentiality of sensitive information while demonstrating strong organizational skills and time management.
Qualifications
- Proven experience in an administrative or clerical role within an office environment; previous office management or executive assistant experience is preferred.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry skills.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Exceptional communication skills with a professional demeanor; bilingual abilities are a plus.
- Experience managing multi-line phone systems and front desk responsibilities including customer service excellence.
- Familiarity with QuickBooks for bookkeeping tasks is desirable.
- Attention to detail in proofreading documents and managing calendar schedules accurately.
- Ability to handle confidential information discreetly while demonstrating strong time management skills.
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.
