Executive Administrative Assistant

Claudia Cares Consulting Inc. is a growing mother-daughter-owned agency supporting individuals with disabilities through California Regional Center services and the Self-Determination Program. We are passionate about empowering clients to live independent, fulfilling, and self-directed lives.

We are seeking a highly organized, compassionate, and proactive Executive Administrative Assistant to support the CEO and Director of Program Operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and wants to make a meaningful impact.

Responsibilities

  • Provide high-level administrative support to executive leadership
  • Assist with daily office operations and special projects
  • Excellent written and verbal communication skills, including grammar, proofreading and document preparation
  • Strong financial, analytical and mathematical skills with high attention to detail
  • Review, process, and reconcile invoices
  • Weekend work for month-end support
  • Track and complete Monthly invoicing
  • Coordinate meetings, schedules, agendas, and communications
  • Compose, proofread, and edit documents and reports
  • Organize files, maintain tracking systems, and manage agency records
  • Respond professionally to client and staff inquiries
  • Support operational problem-solving and department coordination
  • Attend staff meetings and assist with additional administrative duties as needed
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree preferred
  • 2+ years of administrative or executive support experience
  • Proficiency with Microsoft Office, Google Workspace, Gmail, Outlook, and OneDrive
  • Experience in a fast-paced professional environment
  • Strong organizational, multitasking, and communication skills
  • Ability to handle confidential information professionally
  • Project management experience preferred

Requirements

  • Must reside in Los Angeles County within driving distance of the San Fernando Valley
  • Mostly remote position with occasional in-person meetings
  • Reliable high-speed internet and private workspace required
  • Required a quiet, private workspace
  • Must be legally authorized to work in the U.S.
  • Ability to provide 3 professional references, including 1 former employer
  • Must be able to pass a background check
