We are seeking a highly organized, compassionate, and proactive Executive Administrative Assistant to support the CEO and Director of Program Operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and wants to make a meaningful impact.
Responsibilities
- Provide high-level administrative support to executive leadership
- Assist with daily office operations and special projects
- Excellent written and verbal communication skills, including grammar, proofreading and document preparation
- Strong financial, analytical and mathematical skills with high attention to detail
- Review, process, and reconcile invoices
- Weekend work for month-end support
- Track and complete Monthly invoicing
- Coordinate meetings, schedules, agendas, and communications
- Compose, proofread, and edit documents and reports
- Organize files, maintain tracking systems, and manage agency records
- Respond professionally to client and staff inquiries
- Support operational problem-solving and department coordination
- Attend staff meetings and assist with additional administrative duties as needed
- Perform other duties as assigned.
Qualifications
- Bachelor’s degree preferred
- 2+ years of administrative or executive support experience
- Proficiency with Microsoft Office, Google Workspace, Gmail, Outlook, and OneDrive
- Experience in a fast-paced professional environment
- Strong organizational, multitasking, and communication skills
- Ability to handle confidential information professionally
- Project management experience preferred
Requirements
- Must reside in Los Angeles County within driving distance of the San Fernando Valley
- Mostly remote position with occasional in-person meetings
- Reliable high-speed internet and private workspace required
- Required a quiet, private workspace
- Must be legally authorized to work in the U.S.
- Ability to provide 3 professional references, including 1 former employer
- Must be able to pass a background check
