Harvard Chabad is seeking a motivated, organized, and confident
Executive Office Assistant
to support the daily operations of our fast-paced, mission-driven organization.
In this role, you will be the operational backbone of the office, ensuring that systems run smoothly, communication flows effectively, and leadership is supported through strong organization and follow-through. This is a highly collaborative role that requires initiative, discretion, and excellent administrative judgment.
Key Responsibilities
Office Operations & Administration

Manage day-to-day office operations: supplies, vendors, mail, shipping, and basic IT coordination

Operate and troubleshoot office equipment, including printers, scanners, copiers, and faxing

Maintain organized digital and physical filing systems for contracts, records, and reference materials
Leadership & Administrative Support

Own the President's calendar and inbox: triage mail, draft replies, and flag what needs his attention

Conduct a daily walk-through with the President to align on priorities, decisions, and the day ahead

Prepare materials and logistics for meetings, donor visits, board engagements, and events

Track action items and follow through on tactical needs from the Chief of Staff in support of larger initiatives
Communications, Events & Stewardship

Generate weekly reports on new RSVPs, new donors, and upcoming events

Draft and proof emails, letters, and notes for the President — verifying dates, and names before anything goes out

Coordinate logistics for events such as Shabbat dinners, holiday programs, alumni events, and donor gatherings, including RSVPs, headcounts, and room setup

Process donor acknowledgments for every gift and maintain accurate stakeholder records

Proven ability to follow up, follow through, and manage multiple tasks simultaneously

Ability to stay focused and positive in a fast-paced environment
Qualifications

3–5 years of administrative, executive support, or office management experience, ideally in a nonprofit, religious, educational, or mission-driven setting

Exceptional written and verbal communication

Strong command of Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)

Comfort with office equipment: printers, scanners, copiers, faxing, and basic IT troubleshooting

Demonstrated ability to use AI tools (ChatGPT, Claude, Gemini, etc.) to draft, summarize, and work more efficiently — or genuine excitement to learn quickly
Benefits

The pay range for this position is $60,000 – $110,000 annually. This range represents Chabad Harvard's good faith and reasonable estimate of the salary range for this position at the time of posting. Actual compensation offered will depend on a variety of factors, including but not limited to the candidate's relevant experience, skills, qualifications, education, training, certifications, internal equity, and business needs.
