Overview
We are seeking a highly organized and proactive Executive Administrative Assistant to support our executive team. This role requires exceptional office management skills, attention to detail, and the ability to handle multiple tasks efficiently. Responsibilities
- Provide comprehensive executive administrative support, including managing calendars and scheduling appointments using Microsoft Outlook Calendar and Google Workspace.
- Coordinate and assist with event planning for corporate meetings, conferences, and special events.
- Handle phone etiquette with multi-line phone systems, screening calls, and directing inquiries appropriately.
- Prepare, proofread, and transcribe documents, reports, and correspondence with high accuracy.
- Manage bookkeeping tasks using QuickBooks and perform data entry to maintain accurate records.
- Oversee office management duties such as filing, organizing documents, and maintaining office supplies.
- Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items.
- Assist with front desk responsibilities including greeting visitors and managing incoming inquiries.
- Utilize Office experience with Microsoft Office Suite (Word, Excel, PowerPoint) to create presentations and reports.
- Use DocuSign for electronic signatures and facilitate document signing processes efficiently.
- Maintain confidentiality of sensitive information while providing executive administrative support.
Experience
- Prior administrative experience is required, preferably in an office or corporate environment.
- Personal assistant experience is highly desirable, demonstrating the ability to manage complex schedules and tasks.
- Proven skills in event planning, project coordination, bookkeeping, and office management are preferred.
- Strong typing skills along with proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry systems.
- Excellent organizational skills with the ability to multitask effectively under tight deadlines.
- Demonstrated customer service skills with professional phone etiquette and front desk experience.
- Familiarity with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and electronic signature platforms such as DocuSign is advantageous. Pay: $18.00 - $20.00 per hour
