Executive Administrative Assistant

We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team. This vital role provides comprehensive administrative support to executive leadership, ensuring smooth daily operations and efficient office management. Responsibilities

  • Manage complex calendars, schedule appointments, and coordinate meetings for executive staff with precision and attention to detail.
  • Handle incoming calls using multi-line phone systems, demonstrating excellent phone etiquette and providing exceptional customer support.
  • Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office and Google Workspace tools.
  • Maintain organized filing systems ensuring easy retrieval of documents and records.
  • Assist with data entry, bookkeeping using QuickBooks, and basic office accounting tasks to support financial accuracy.
  • Provide personal assistant support as needed, including travel arrangements, calendar management, and task prioritization for executives.
  • Coordinate internal communications across departments to ensure seamless information flow.

Experience

  • Proven experience as an administrative assistant or in a similar office support role with demonstrated excellence in organizational skills.
  • Prior experience working in office management or supporting executive-level staff is highly preferred. Having experience in Marketing is a plus
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Calendar), and data entry tools.
  • Familiarity with multi-line phone systems and customer service best practices.
  • Experience with clerical tasks such as filing, proofreading, calendar management, and time management is essential.
  • Knowledge of QuickBooks for bookkeeping purposes is advantageous but not mandatory; training can be provided for the right candidate.
  • Excellent communication skills combined with professional phone etiquette are necessary for success in this role.
