Executive Administrative Assistant / Analyst

Job Title: Executive Administrative Assistant / Analyst – FT – Chatsworth

Overview:

The Executive Administrative Assistant / Analyst supports the Information Technology department in daily administrative tasks such as calendaring, vendor management, invoicing, and other duties.

Additionally, this role will also provide support in:

  • Reporting, such as financial tracking, budget variance analysis and accrual reporting.
  • Maintaining system portals.
  • Preparing complex reports.
  • Supporting project execution.
  • Ensuring accurate documentation across the Department.

The ideal candidate is detail oriented, analytically minded, and comfortable working with financial data, dashboards and cross-functional teams.

Requirements:


What We Are Looking For
:

  • 3+ years of similar or related experience, including administrative support, financial reporting, or data analysis.
  • Experience in accounting concepts, variance analysis, or business intelligence tools is strongly preferred.
  • Experience supporting multiple C-Suite executives at the same time is also preferred.
  • Bachelor's Degree is preferred; some college or an equivalent combination of experience and training is required.
  • Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, formulas, charts).
  • Familiarity with accounting systems, financial reporting tools.
  • Ability to extract and manipulate data from multiple systems.
  • Strong understanding of basic accounting concepts (accruals, variances, forecasting).
  • Advanced Outlook calendar management and Excel skills are critical . Expert proficiency with Word, PowerPoint, and Visio is also required.
  • Coursework in accounting, finance, business analytics, or information systems is a plus.
  • Strong organization, time management, project management, attention to detail, and problem-solving skills
  • Strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external), and can handle issues with respect, dignity, sensitivity, and urgency.
  • Friendly and professional demeanor, with a "can do" attitude.
  • Ability to act quickly from one task to another, seamlessly and professionally.
  • Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast-paced environment with limited supervision.
  • Excellent verbal and written communication skills including the ability to communicate with all levels of the organization.
  • Ability to proofread and data validation.
  • Ability to identify business issues and coordinate an appropriate response with the key stakeholders.
  • Proven experience working in a fast-paced environment while providing superior service level
  • Ability to tame organized chaos while remaining calm and composed
  • Possess a high degree of initiative to take independent action and be able to always exercise proper judgment.
  • Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities.

Pay Grade Info:

The base pay range for this position is: 70k - 80k.
