Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.


Summary:

This is a dynamic and high-impact administrative role supporting two General Managers within a large, globally matrixed organization. The position serves as a critical operational partner to senior leaders who collectively oversee teams of over 130 people and manage relationships with more than 80 executive stakeholders across the organization. The ideal candidate brings a proactive mindset, exceptional organizational instincts, and the professional polish to represent senior leadership with discretion and executive presence. This role demands someone who thrives in a fast-paced environment, anticipates needs before they arise, and can seamlessly manage competing priorities across time zones, functions, and organizational levels.


Job Responsibilities:

  • Proactively manage complex, high-volume calendars across multiple time zones for two General Managers, including scheduling, prioritizing, and protecting dedicated focus time against competing demands

  • Monitor and triage high-priority meeting requests and communications, draft responses, and ensure critical items are escalated and addressed in a timely manner

  • Prepare agendas, pre-reads, and logistics for recurring team meetings, leadership syncs, and cross-functional reviews, and follow up on action items and decisions

  • Book and manage end-to-end domestic and international travel, build detailed itineraries, handle real-time changes, and submit timely and compliant expense reports on behalf of senior leaders

  • Serve as a liaison between the General Managers and internal partners, including the CVP's office, peer GMs, and external partners, exercising discretion and sound judgment at all times

  • Support team offsites, partner one-on-ones, and executive meetings at events, including logistics, coordination, and communications

  • Perform general office functions such as ordering supplies, maintaining records management systems, and performing basic bookkeeping tasks

  • Prepare invoices, reports, memos, letters, financial statements, and other business documents as needed

  • File and retrieve corporate documents, records, and reports

  • Open, sort, and distribute incoming correspondence including emails and other communications

  • Prepare responses to routine correspondence and information requests


Requirements:

  • 4 to 5 years of experience in executive-level calendar and meeting coordination supporting Director-level or above leadership is required

  • 3 to 5 years of experience managing end-to-end travel and expense management for a senior leader is required

  • A minimum of 12 months of prior experience in a comparable role is required for candidates with previous experience at Microsoft

  • Proven ability to independently own and manage high-volume, multi-time-zone executive calendars for Director-level or above leaders

  • Strong verbal and written communication skills with the ability to engage external vendors and partners with executive presence

  • Exceptional multi-tasking, prioritization, and time management abilities in a fast-paced, matrixed environment

  • Ability to work independently, anticipate leadership needs, and adapt quickly to shifting priorities

  • Strong interpersonal skills and the ability to build relationships across all levels of an organization

  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism

  • Experience managing end-to-end domestic and international travel and expense reporting using corporate travel tools

  • Exposure to program management concepts, particularly in support of senior executive leaders, is strongly preferred

  • Ability to keep information organized, accurate, and confidential


Additional Details:

  • Location: Redmond, WA (Hybrid: 3 days onsite)

  • Duration: 12 months

  • Pay Range*: $33.50 - $38 per hour

  • Weekly Schedule: 40 hours

  • Job Status: Non-Exempt
