Seeking an organized and proactive Executive Administrative Assistant to support our executive team and ensure the smooth operation of our office environment.
Duties
- Manage calendars, schedule appointments, coordinate meetings for executives with attention to detail and prioritization.
- Handle correspondence, prepare reports, and draft professional communications using Microsoft Office and Google Workspace productivity software.
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records.
- Assist with bookkeeping tasks such as invoicing and expense tracking using QuickBooks or similar accounting software.
- Operate multi-line phone systems with professionalism, providing exceptional customer service and client communication.
- Support office management activities including supply procurement, facility coordination, and front desk responsibilities.
- Timely completion of administrative tasks.
- Personal assistant support to executives as needed, including calendar management and travel arrangements.
- Learning Buildium, a property management software system.
- Utilize technical proficiency in computer literacy, spreadsheets, typing skills, and office technology to enhance productivity.
Experience
- Proven experience in an administrative or executive assistant role within a professional office environment.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Experience with office management functions such as filing systems, supply management, and front desk operations.
- Spanish language abilities are highly desirable to facilitate communication with diverse clients and team members
- Excellent written and verbal communication skills
