Overview
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our esteemed law firm. This vital role offers an exciting opportunity to support the managing partner and administrative leadership. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for delivering outstanding administrative support in a fast-paced legal environment.

Duties

  • Applicants should have very strong organizational skills and even stronger computer, technology and internet marketing skills or the ability to learn and employ those skills.
  • Assist in offline and online marketing efforts through social media platforms and client relation activities.
  • Manage correspondence, emails, and phone calls with professionalism and courtesy, utilizing multi-line phone systems and maintaining excellent phone etiquette.
  • Maintain, track and order all supply inventory.
  • Handle all travel arrangements for attorneys.
  • Arrange and schedule holiday functions and firm donations.
  • Responsible for registering attorneys for CLE's, track CLE hours to ensure compliance and submit CLE hours yearly.
  • Additional assignments given by managing partner and/or office administrator.
  • Utilize office software such as Microsoft Office Suite (Word, Excel, Outlook), Teams, Zoom.

Qualifications

  • Proven experience as an executive administrative assistant or personal assistant within a law firm or professional services environment.
  • Strong organizational skills with the ability to multitask efficiently in a high-volume setting.
  • Excellent typing speed combined with exceptional proofreading abilities to ensure error-free documents.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Teams and Zoom.
  • Demonstrated experience in event planning and project coordination.
  • Exceptional communication skills—both written and verbal—with polished phone etiquette.
  • Ability to handle sensitive information discreetly while maintaining confidentiality at all times.
  • Strong computer literacy skills including familiarity with multi-line phone systems.
  • Prior experience supporting executives in a legal or corporate setting is preferred but not mandatory; relevant office experience is essential. Join us to be part of a growing, successful law firm.

Job Type: Part-time

Pay: $20.00 per hour
