The Role

We are seeking a highly experienced Executive Administrative Assistant to provide strategic, proactive support to the CEO of Apella Wealth. This role requires exceptional judgment, discretion, and emotional intelligence, along with the ability to anticipate needs, manage competing priorities, and operate with a high degree of autonomy in a fast-paced environment. The ideal candidate brings 5+ years of experience supporting C-suite executives or Boards, thrives in complex organizational settings, and serves as a trusted partner who enhances executive effectiveness.


This is a rare opportunity to step into a strategic support role working with C-suite executives at the intersection of strategic decision making, operational coordination and tactical execution in a high growth financial services firm.


Where you’ll work:

This role will be located on our West Hartford, CT -based team and be expected to be available in-office 5 days a week .


What you’ll be responsible for:

  • Provide high-level administrative and strategic support to our CEO
  • Maintain strict confidentiality with sensitive Board and company information
  • Anticipate executive needs and proactively resolve issues before they arise
  • Prepare CEO for meetings with relevant materials, briefings, and follow-ups
  • Manage complex, ever-changing calendars across multiple stakeholders and time zones
  • Prioritize scheduling requests with a clear understanding of business priorities and urgency
  • Coordinate and align internal and external meetings, ensuring efficient use of the CEO’s time
  • Serve as a primary point of contact for internal and external stakeholders on behalf of the CEO
  • Draft, edit, and manage professional communications with a high degree of polish and discretion
  • Manage travel arrangements, expense reporting, and administrative processes with precision
  • Build strong cross-functional relationships and facilitate collaboration across teams
  • Provide administrative support to the COO on an as needed basis in parallel with CEO duties


What qualifications we’re looking for:

  • 5+ years of experience supporting C-suite executives or Board-level leadership
  • Experience in financial services/insurance industry preferred
  • Proven ability to operate with discretion and handle highly confidential information
  • Exceptional organizational skills with demonstrated ability to manage competing priorities
  • Strong business judgment and decision-making capability
  • High emotional intelligence (EQ), with the ability to read situations and adapt communication style
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, Google Workspace, and modern collaboration tools
  • Eager to learn and able to adapt quickly to multiple technology platforms and rapid change


What we offer:

  • A base salary range of $85K - $105K with discretionary bonus.
