POSITION SUMMARY:

Responsible for all Administrative Assistant functions for the Agency and for all general office duties in the Administrative Office.

DUTIES & RESPONSIBILITIES:

  • Manage President/CEO’s calendar, including appointments, meetings, and arranging travel.
  • Act as liaison for all outside committees, meetings, coalitions, and board meetings.
  • Prepare agendas, materials, and take minutes for required meetings.
  • Organize and coordinate agency events.
  • Assist with development/production of informational materials and presentations.
  • Assist with fundraising efforts, marketing, and advertising.
  • Maintain Camelot’s social media, such as website and Facebook page.
  • Stay current with local and relevant news stories and prioritize the news items for the Executive

Team’s review.

  • Assist COO and the CFO with filling and organizing agency contracts as approved by the CEO.
  • Ensure operations run smoothly within programs such as information and data processing, mail, materials, scheduling, and distribution, printing, and reproduction, relevant records management, telecommunications management.
  • Examine technology usage and accounts, cell phone accounts, work with COO and CFO to ensure equipment is updated as needed.
  • Assist in the preparation, analysis, negotiation, and review contracts related to the purchase or sale of equipment, materials, supplies, products, or services.
  • Work in coordination with administrators across all sites to ensure clerical duties are completed.
  • Manage administrative functions to ensure smooth and efficient operations of the program.
  • Support the program’s strategic alliances and partnerships.
  • Participate in strategic planning.
  • Plan and implement the annual calendar of activities including fundraising initiatives, special events, and other official administrative acts.
  • Help create budgets and track expenditures.
  • Create presentations for meetings, board meetings, executive meetings, and other relevant meetings.
  • Must be flexible with occasional driving in all five Boroughs, obtaining signatures and drop-offs based on need.
  • Accompany the President/CEO, and Executive Management team in Albany, as needed.

EDUCATION / EXPERIENCE / REQUIREMENTS:

  • College preferred and 3 years of administrative experience.
  • Professional and mature attitude and attire.
  • Valid Driver’s License preferred.
  • Business Travel Required
  • Flexible Hours and Days

Job Type: Full-time

Pay: $70,000.00 - $75,000.00 per year
