Executive Administrative Coordinator

The Executive Administrative Coordinator serves as a key operational support to Spectrum’s Executive Leadership Team, Director of Human Resources, Board of Directors, and various committees. This is an executive level administrative role requiring a high degree of professionalism, discretion, and organizational skill. The ideal candidate is proactive and detail-oriented, able to manage competing priorities with ease, and trusted to handle sensitive information with confidentiality. You will be a central point of coordination across the organization, keeping leadership running smoothly, governance on track, and day-to-day operations well supported. This is a full time exempt position with an annual salary range of $55,000 - $65,000 and is eligible for a robust benefits package; including health, HRA, dental, vision, life insurance, STD, LTD, accrued vacation, accrued health leave, and a 403(b) retirement plan.

Essential Functions
Executive & Leadership Support
  • Provide administrative support to the Executive Leadership Team and Director of Human Resources
  • Coordinate Executive Leadership Team meetings, agendas, and scheduling
  • Support special projects as assigned by the Executive Director

Board & Committee Coordination
  • Schedule and support Board of Directors meetings
  • Prepare and distribute board packages
  • Record and distribute committee minutes; coordinate committee logistics

Human Resources Support
  • Assist with the hiring process, including:
  • Screening and scheduling interviews
  • Conducting reference checks
  • Coordinating systems training for new hires
  • Schedule and track staff trainings

Development & Donor Relations
  • Open mail and accurately log cash receipts
  • Provide data entry and administrative support to the Development Team
  • Schedule donor meetings

Communications & Office Operations
  • Monitor and manage the general Spectrum mailbox and voicemail
  • Coordinate volunteer requests and in-kind donations

Knowledge and Skills Required
  • Minimum of 3–5 years of experience in a busy office environment
  • Experience working with SharePoint preferred; ability to learn new software required
  • Strong written, verbal, and listening communication skills
  • Excellent organizational and time management skills, including the ability to adapt to shifting priorities and meet deadlines
  • Ability to analyze situations and determine appropriate courses of action
  • Ability to maintain appropriate professional boundaries with clients and staff
  • Ability to work both independently and as part of a team
  • Ability to relate effectively to a wide range of people, including youth
  • Ability to maintain confidentiality in accordance with Spectrum’s policies
  • Ability to handle crisis calls calmly and professionally

Work Environment
General office environment requiring sitting, standing, use of stairs, and occasional lifting up to 10 pounds. Position may require travel to other Spectrum locations, most within walking distance.
