Position: Executive Administrator

As a member of the administrative and leadership team, the Executive Administrator to the President and Executive Team will provide a broad range of professional coordination and project management for the President/CEO.


General
Job Scope

  • Assist President/CEO, as requested, in organization and implementation of varied and evolving program initiatives, e.g. agency planning and growth; stakeholder, marketing and external relations; Best Companies program; regulatory agency, coalition and provider coalition/collaboration relations; etc.;
  • Serve as a liaison to Board members, funding sources, government officials, and other key stakeholders, assuring effective, fluid, ongoing communication on behalf of the President/CEO.
  • As member of the administrative team, participate in initiatives aimed at advancing the agency’s mission, philosophy and vision.
  • Contribute content and edit official agency publications including, but not limited to, position papers, agency annual report, newsletters, website and social media platforms, etc. Assist in writing, editing, and completion of grant proposals and related materials (letters of support, memorandums of agreement, summaries, policy statements, etc.). Research agency related materials and external sources for presentations, reports and speeches for the President/CEO, as requested.
  • Participate in the design, writing and editing of public relations and marketing materials including brochures, press releases, editorials, flyers, program announcements, etc. Maintain effective liaison with agency public relations consultant and marketing personnel.
  • Initiate diverse and complex communications on behalf of the President/CEO (correspondence, e-mails, reports, speeches, surveys, etc.), pursuing items requiring attention, bringing issues of importance/urgency to attention, and taking responsibility for follow-through, as requested.
  • Coordinate planning, scheduling and logistics of meetings led by the President/CEO, including development of agendas, minutes, information and materials preparation, conference calls, etc. Coordinate Board meetings, including notification, follow-up calls, preparation of board resource packets, maintenance of Board minutes and resolutions.
  • Assist President/CEO in development and submission of regulatory agency certification applications, and organization of required documents and supporting materials.
  • Complex calendar monitoring for the President/CEO, including facilitating registration and travel arrangements for conferences and professional meetings, as appropriate.

Qualifications

  • Results-oriented, creative, experienced administrator with strong organizational, communication and interpersonal skills
  • Professional experience in non-profit, behavioral health or similar sector is essential, as are analytical, leadership and excellent oral and written communication skills;
  • Ability to multitask; facility in establishing and maintaining effective working relationships with colleagues, Board Members and other stakeholders;
  • Ability to work independently and cooperatively as part of a mission-driven team; high level of maturity, professionalism, confidentiality and judgment
  • Bachelor’s degree, Masters preferable
  • Excellent writing, communication, and organizational skills
  • Ability to work independently
  • Strong knowledge of the behavioral healthcare/addiction treatment field preferred.


Position Status

This is a Per diem position.


Work Environment

This job operates in a professional office environment and outside in the field. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Must be able to travel among assigned sites and locations as needed.
