We are seeking a highly organized, professional, and proactive Executive Administrator to support executive leadership and help drive day-to-day business operations. This position serves as a trusted administrative partner to company leadership and plays a critical role in helping executives manage priorities, schedules, recruiting efforts, financial administration, conferences, and business operations.
This is not a traditional receptionist or administrative support role. The Executive Administrator will work directly with company leadership from the executive suite and will be responsible for helping ensure the organization operates efficiently and professionally.
Position Overview
The Executive Administrator serves as the primary administrative support resource for the executive team. This individual will coordinate executive schedules, support recruiting activities, assist with accounting administration, coordinate conferences and events, and help facilitate communication and collaboration across departments.
The ideal candidate is highly organized, detail-oriented, professional, and capable of managing multiple priorities simultaneously while maintaining confidentiality and professionalism.
Key Responsibilities
Executive Support
- Manage executive calendars, meetings, and scheduling priorities.
- Coordinate internal and external meetings, customer visits, and executive briefings.
- Prepare meeting agendas, notes, presentations, and supporting materials.
- Track action items and follow up on executive priorities.
- Coordinate executive travel arrangements, accommodations, and itineraries.
- Assist with confidential executive and business matters.
Recruiting & Talent Acquisition Support
- Coordinate candidate interviews and recruiting schedules.
- Assist with candidate communications and follow-up activities.
- Support hiring managers throughout the recruiting process.
- Maintain recruiting records and candidate documentation.
- Coordinate interview logistics and candidate visits.
- Assist with onboarding preparation and new hire coordination.
Accounting & Business Administration
- Support accounts payable and accounts receivable activities.
- Process invoices and maintain vendor documentation.
- Coordinate purchasing requests and administrative expenditures.
- Assist with contract management and business documentation.
- Maintain organized filing systems and business records.
Sales & Conference Support
- Coordinate conference registrations, trade shows, and event logistics.
- Manage travel arrangements for executive and sales personnel.
- Assist with preparation of presentations, marketing materials, and event assets.
- Support customer visits and executive meetings.
- Help ensure sales teams are properly prepared for conferences and customer engagements.
Executive Office Operations
- Serve as the primary administrative point of contact within the executive suite.
- Coordinate executive office activities and visitor scheduling.
- Answer and direct incoming calls for executive leadership when needed.
- Support special projects and strategic initiatives.
- Help drive administrative excellence across the organization.
Required Qualifications
- 5+ years of experience supporting executives, business leaders, or senior management.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Experience managing executive calendars and coordinating complex schedules.
- Strong attention to detail and follow-through.
- Professional demeanor and executive presence.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Ability to manage confidential information with discretion.
- Self-motivated with strong problem-solving skills.
- U.S. Citizenship is required due to the nature of our customers, contracts, and regulatory requirements.
Preferred Qualifications
- Experience supporting C-level executives.
- Experience coordinating recruiting and talent acquisition activities.
- Experience with accounts payable and accounts receivable processes.
- Experience planning conferences, trade shows, or corporate events.
- Experience with Odoo, ERP, CRM, or business management systems.
- Experience working within a technology, engineering, manufacturing, or professional services environment.

Pay: $65,000.00 - $80,000.00 per year
