Executive Administrator for CEO of Global Clinical Testing Institute

As the right hand to our executive leadership, you will streamline daily operations, coordinate complex projects, and ensure seamless communication across departments. Your energetic approach and meticulous organizational skills will empower our CEO to focus on strategic initiatives while you handle essential administrative functions with precision and enthusiasm.

Duties

  • Manage and maintain the CEO’s calendar using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements efficiently.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and preparing reports with attention to detail.
  • Coordinate and organize high-level meetings, conferences, and events, handling logistics such as venue booking, catering, and technical setup.
  • Oversee office management tasks including filing, data entry, maintaining supplies, and ensuring a professional front desk environment.
  • Handle multi-line phone systems with excellent phone etiquette, screening calls and directing inquiries appropriately.
  • Utilize QuickBooks for basic bookkeeping tasks such as expense tracking and invoice processing; assist with personal assistant duties as needed.
  • Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes, and following up on action items.
  • Manage confidential information with integrity while ensuring all administrative processes adhere to organizational policies.

Skills

  • Proven experience in office management, administrative support or executive assistance within a fast-paced environment.
  • Strong organizational skills with the ability to multitask effectively across various projects simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
  • Excellent typing speed and transcription skills for accurate documentation and correspondence.
  • Knowledge of Office experience including filing systems, front desk operations, and multi-line phone systems.
  • Familiarity with bookkeeping software such as QuickBooks; experience with DocuSign for electronic signatures is a plus.
  • Exceptional communication skills demonstrating professionalism in customer service and phone etiquette.
  • Ability to proofread documents meticulously while maintaining high standards of accuracy.
  • Experience in event planning from small meetings to large conferences; adept at managing logistics seamlessly. Pay: $100,000.00 - $125,000.00 per year
