Executive Administrator to the CEO

General Summary
The Executive Administrator to the CEO provides comprehensive executive-level administrative, operational, and strategic coordination support to the Chief Executive Officer. This role serves as a trusted partner and central point of coordination for the CEO’s office, ensuring effective execution of executive priorities, seamless internal and external communication, high quality stakeholder engagement, and disciplined follow-through on organizational initiatives.
The Executive Administrator oversees the flow of information, prepares executive and governance materials, manages complex scheduling and logistics, and supports enterprise-level projects.
Essential Job Functions
- Provide high-level administrative support to the CEO, including complex calendar management, meeting coordination, correspondence, and prioritization of requests and inquiries.
- Prepare the CEO for internal and external meetings by developing agendas, briefing materials, presentations, and follow-up documentation with clear accountability tracking.
- Exercise independent judgment in triaging issues, responding to inquiries, and escalating matters appropriately based on urgency, sensitivity, and organizational impact.
- Draft, edit, and coordinate executive correspondence, presentations, and materials that reflect CPS’ values, professionalism, and mission.
- Coordinate domestic and occasional travel arrangements, ensuring efficiency, accuracy, and compliance with organizational policies.
- Manage and track special projects and enterprise initiatives on behalf of the CEO, coordinating across departments to ensure timely execution and measurable outcomes.
- Monitor alignment between executive priorities, strategic plans, and organizational activities; identify and communicate variances or emerging issues.
- Anticipate challenges that may impede executive effectiveness and proactively develop solutions or recommendations.
- Serve as a liaison between the CEO and internal departments, Executive Team members, Board members, LCMS leaders, vendors, and external partners.
- Act on behalf of the CEO as directed, demonstrating professionalism, integrity, humility, and sound discretion at all times.
- Support Board of Directors’ activities by helping to shape a outstanding Board member experience through preparation, organization, communication and compliance as needed.
- Maintain strict confidentiality of sensitive executive, legal, governance, and organizational information.
Education and Experience
- Associates degree in Business Administration, or related field required, Bachelor’s degree preferred.
- Five (5) years of experience providing executive-level administrative or strategic coordination support.
- Proficiency in Microsoft Office Suite to include high proficiency in presentation and document development.
- Membership in a congregation of The Lutheran Church—Missouri Synod (LCMS) preferred.
