Position Overview:

The Executive Assistant will serve as a key operational partner to the Executive Team, supporting the growth and success of Motek’s New York market. This role will involve frequent travel to restaurant locations and construction sites to monitor progress, coordinate with contractors and vendors, and report updates back to leadership. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced hospitality environment.

Key Responsibilities:

  • Serve as the primary liaison between the New York operations and the Miami-based Executive Team.
  • Conduct regular site visits to monitor construction progress, collect updates, and ensure alignment with project timelines.
  • Coordinate communication among contractors, designers, operations, and executive leadership.
  • Prepare detailed project summaries, status reports, and updates for the Executive Team.
  • Support restaurant-level operations by assisting with follow-ups, vendor coordination, and cross-departmental communication (Operations, HR, Finance, Marketing, etc.).
  • Track key initiatives and ensure deliverables are completed on schedule.
  • Anticipate operational needs, identify issues, and assist in developing practical solutions.
  • Represent the Executive Team during on-site visits and meetings when needed.

Qualifications:

  • 5+ years of experience as an Executive Assistant, Project Coordinator, or Operations Associate, ideally within hospitality, real estate development, or a multi-unit business environment.
  • Strong organizational and project management skills with the ability to handle multiple priorities simultaneously.
  • Excellent written and verbal communication skills; confident interfacing with executives, contractors, and restaurant teams.
  • Proficient in Google Workspace and Microsoft Office Suite; experience with project management tools is a plus.
  • Ability to travel frequently between New York City locations
  • Professional, dependable, and solutions-oriented with a collaborative mindset.

Job Type: Full-time

Pay: $75,000.00 - $80,000.00 per year
