Position: Executive Assistant

Department: Office of Directors

Location: Surat

Reporting To: Founder

2. Key Responsibilities

A. Administrative & Executive Support

● Manage calendars, schedule meetings, appointments, and internal/external

engagements.

● Handle email communication, draft responses, and filter important messages.

● Prepare MIS reports, presentations, agendas, and other documents as required.

● Maintain confidentiality of sensitive information at all times.

● Coordinate with internal departments for approvals, updates, and follow-ups.

B. Travel & Logistics

● Plan and book travel, accommodation, and local conveyance for management.

● Prepare travel itineraries, track travel expenses, and maintain related documentation.

C. Communication & Coordination

● Serve as a point of contact between management and employees/clients/vendors.

● Communicate instructions from the Director to respective teams and ensure timely

follow-ups.

● Draft professional communication including letters, notices, emails, and minutes of

meetings.

D. Meeting Management

● Organize meetings, prepare agendas, and circulate relevant documents in advance.

● Record minutes of meetings (MOM) and ensure action points are tracked and closed

on time.

● Maintain an organized document repository for all meetings.

E. Data Management & Reporting

● Maintain records, agreements, policy documents, and confidential files.

● Assist in preparing monthly/weekly dashboards, reports, and project updates.

● Track deadlines, reminders, and pending tasks for management.

F. Operational & Project Support

● Assist in execution of special projects assigned by management.

● Coordinate follow-ups with cross-functional departments such as HR, Accounts,

Sales, Production, Purchase, etc.

● Support in event planning, company programs, meetings, and reviews.

3. Required Skills & Competencies

● Excellent communication skills (verbal & written).

● Strong follow-up and coordination skills.

● High level of professionalism, integrity, and confidentiality.

● Proficiency in MS Office (Excel, Word, PowerPoint).

● Time management, multitasking, and problem-solving abilities.

● Strong organizational skills with attention to detail.

● Ability to work independently and handle pressure situations.

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹30,000.00 per month
