Job Description:
What You will do:
- Manage daily calendars for senior management, including meetings, site visits, reviews, and travel schedules.
- Prioritize appointments, avoid scheduling conflicts, and ensure optimal time utilization.
- Coordinate internal and external meetings, including clients, consultants, channel partners, and vendors.
- Draft, review, and manage professional emails, letters, notices, and internal communications on behalf of senior management.
- Act as a single point of contact between the executive office and internal teams or external stakeholders.
- Organize meetings, prepare agendas, presentations, and background documents.
- Record Minutes of Meetings (MOMs) and circulate action points to concerned stakeholders.
- Prepare and maintain MIS reports related to sales performance, project status, approvals, and management updates.
- Compile data from multiple departments and present concise summaries for leadership review.
- Coordinate with sales, CRM, projects, legal, finance, liaison, and operations teams for smooth workflow.
- Follow up on approvals, agreements, payments, documentation, and statutory requirements.
- Maintain confidential project files, land documents, agreements, approvals, and management records.
- Ensure proper filing (physical and digital) with version control and easy retrieval.
Requirements:
- Graduate in any discipline (Management, Commerce, or Arts preferred).
- Diploma or certification in Office Administration / Executive Assistance is an added advantage.
- 1–6 years of proven experience as an Executive Assistant, Personal Assistant, or similar role.
- Prior experience in Real Estate / Construction / Infrastructure is highly preferred.
- Strong proficiency in MS Excel, Word, PowerPoint, and email communication.
- Experience in MIS preparation, management reporting, and data coordination.
- Ability to prepare professional presentations, MOMs, and management summaries.
- Excellent written and verbal communication skills.
