Executive Assistant

Position Summary

The Executive Assistant to the CEO and President provides high-level administrative, coordination, and communication support to TTWF’s leadership — the President in Pakistan and the CEO in the USA. This role requires exceptional organizational and interpersonal skills, attention to detail, and the ability to operate effectively across time zones.

The position involves managing complex schedules, coordinating cross-regional communication, handling confidential information, and serving as a trusted liaison between leadership, internal teams, and external partners. Flexibility in working hours is required to align with the CEO’s schedule in the USA.

Essential Duties and Responsibilities

Executive & Administrative Support:

  • Manage and coordinate the President’s and CEO’s calendars, meetings, and travel across multiple time zones, adjusting working hours as needed for U.S.–Pakistan coordination.
  • Prepare meeting briefs, presentations, and reports with accuracy and attention to detail.
  • Track action items and ensure timely follow-up on deliverables for both executives.
  • Plan and manage logistics for executive travel, meetings, and events (local, international, online, or in-person).

Communication & Coordination:

  • Serve as the key liaison between the President, CEO, and internal/external stakeholders.
  • Draft and manage correspondence, ensuring clarity, professionalism, and consistency in tone.
  • Schedule and facilitate virtual meetings (Google Meet/Zoom), ensuring documentation and follow-up actions are completed.
  • Maintain discretion and integrity while handling all executive communications and confidential information.

Stakeholder & External Engagement:

  • Represent the Executive Office with professionalism and cultural sensitivity while liaising with donors, partners, board members, and government officials.
  • Support cross-regional communication between executive leadership, the Board, and internal teams.

Office & Information Management:

  • Maintain accurate and organized digital filing systems and documentation.
  • Monitor executive correspondence, prioritize urgent matters, and ensure timely responses.
  • Support preparation of executive reports, board decks, and donor presentations.

Education:

Bachelor’s degree in business administration, Management, or a related field (master’s preferred).

Experience:

2–5 years of experience supporting senior leadership in an administrative or executive assistant capacity.
