Position Summary:

C.W. Driver Companies is seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to the Chief Executive Officer and Chief Financial Officer.

This role is critical in ensuring efficient day-to-day operations, managing executive priorities, and supporting key business functions. The ideal candidate is detail-oriented, resourceful, and able to handle confidential information with professionalism and discretion.

Key Responsibilities:

  • Manage executive calendars, including scheduling meetings, travel, conferences, and appointments.
  • Provide administrative support, including preparing reports, presentations, spreadsheets, and correspondence.
  • Coordinate travel arrangements, special events, and conference logistics.
  • Perform expense tracking, reconciliation, and assist with budget monitoring.
  • Maintain and update contact databases, Outlook systems, and CRM tools.
  • Serve as a professional point of contact for internal teams and external stakeholders.
  • Handle confidential information with discretion and integrity.
  • Notarize contractor/subcontractor documents including bonds, liens, and releases as needed.
  • Oversee office operations, including coordination of building maintenance and administrative functions.
  • Ensure company licenses and registrations are obtained and renewed as required.
  • Support a collaborative team environment and promote company core values.

Requirements:

  • 5–10+ years of executive administrative experience; A/E/C industry experience preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
  • Strong organizational skills with high attention to detail and ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Bachelor’s degree in Communications or related field preferred.
  • Ability to work in a fast-paced environment and meet deadlines.

Physical Requirements:

This role requires the ability to sit for extended periods, use hands for computer and administrative tasks, and occasionally stand, walk, or lift items up to 15 pounds. Vision abilities include close and distance vision, depth perception, and focus adjustment. Reasonable accommodations will be made as necessary.

Work Environment:

Work is primarily performed in an office environment, with occasional visits to construction sites where exposure to typical jobsite conditions may occur. Noise levels range from moderate in office settings to louder in field environments.
