Executive Assistant

DEPARTMENT: Hospital Administration

JOB TITLE: Executive Assistant

SHIFT: 80 Hours Bi-Weekly, Day Shift

BENEFTS: This is a full time, benefit eligible position.

Summary/Objective

Provides high-level administrative and executive support to members of Administration as assigned.

Essential Functions

  • Serve as a role model with professionalism and exceptional customer service.
  • Effectively prioritize work from multiple sources while meeting simultaneous deadlines.
  • Maintain strict confidentiality when handling sensitive information.
  • Demonstrate regular, reliable attendance.

(To Officers as assigned)

  • Serve as personal and confidential assistant to assigned officers.
  • Manage calendars and schedule meetings.
  • Coordinate meeting logistics, including room reservations, technology setup and catering.
  • Prepare and distribute meeting agendas, minutes and supporting materials.
  • Attend designated meetings and take meeting minutes.
  • Assist with time-off requests and payroll approvals.
  • Complete expense reports and reconcile credit card statements.
  • Compete conference registrations and coordinate travel arrangements.
  • Create spreadsheets, reports, presentations and other documents as assigned.

(Other Responsibilities)

  • Greet and welcome guests in a professional and courteous manner.
  • Schedule and maintain hospital conference room calendars.
  • Assist with maintaining the administrative supply cabinet, kitchenette and administrative conference room.
  • Facilitate cards and gifts on behalf of Administration.
  • Participate in workgroups and assist with organizational event planning as time permits.

Qualifications

  • Proficient in Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook and Microsoft Teams.
  • Excellent written and verbal communication skills.

Experience

  • 5+ years of work experience in a responsible administrative or executive support role, preferred.

Requirements

Education

  • Bachelor’s degree in business, preferred.

License

  • Indiana licensed notary within 6 months of hire.
