This Executive Assistant position is responsible for managing complex schedules, coordinating communications, and handling confidential information while acting as a trusted partner to executive leadership. This role requires strong organizational skills, discretion, attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities:
Provide high-level administrative support to C-suite executives, including the General Counsel, VP Assistant General Counsel, CIO, Corporate Controller, and VP of Human Resources
Compose, draft, proofread, edit, and finalize correspondence, including emails, meeting minutes, and other business documents
Track and follow up on key projects, deadlines, and action items to ensure timely completion
Coordinate cross-functional initiatives and ensure alignment and follow-through on deliverables
Manage travel logistics in accordance with company policy, including detailed itineraries, agendas, and supporting materials
Prepare and submit accurate expense reports in a timely manner, ensuring compliance with company policies
Monitor executive calendars, proactively identify scheduling conflicts, and communicate changes promptly to relevant stakeholders
Schedule and coordinate meetings and executive events, including managing invitations, reserving meeting spaces, arranging equipment/materials, and coordinating hospitality services; support off-site meetings as needed
Serve as a liaison with the Board of Directors and ESG committee, including coordination of travel and expense reporting
Oversee logistics for board meetings and executive leadership sessions
Assist in planning and executing company town halls, including scheduling, logistics, and communications
Handle confidential information with discretion and professionalism, maintaining strict adherence to company privacy standards
Demonstrate a collaborative, team-oriented approach by proactively supporting colleagues and contributing to shared goals
Foster a positive, productive, and safe work environment through professionalism and initiative
Provide backup support for additional executives as needed
Assist with onboarding new team members and executives
Knowledge, Skills & Abilities:
Four plus years’ experience in a similar role; college degree preferred
Excellent writing, editing, and verbal communication skills
Ability to perform general office duties including opening mail, photocopying, scanning, and mailing materials via various delivery services
Research savvy with experience using online resources
Highly developed planning and organizational skills; able to anticipate change, adjust responses accordingly, and initiate steps to maximize resources toward a common objective
Superior time management skills; critical thinker with strong attention to detail
Preferred:
Advanced computer skills using Microsoft Office Suite: Word, Excel, PowerPoint and Outlook, and Concur Travel/Expense System
Excellent diplomatic skills; skilled at developing and maintaining personal, social, and business relationships
Experience in the finance or oil and gas industries and legal ( preferred but not required )
Education and Experience:
High school diploma or equivalent, college degree preferred
At least 5 years related experience required, 7 years preferred
