The Executive Assistant serves as a high-impact strategic and operational partner to the CEO and COO, responsible for enabling executive effectiveness, organizational alignment, and disciplined execution across the enterprise. This role blends executive administrative support, board and governance coordination, project management, and cross-functional operational coordination. This position must exercise discretion, sound judgment, initiative, and professionalism while maintaining confidentiality and supporting organizational priorities. The position contributes to the efficiency and effectiveness of the organization by providing timely, accurate, and strategic support to executive leadership and enterprise initiatives. This position is designed as a foundational role with responsibility in strategic coordination, initiative tracking, leadership alignment, and enterprise project execution.
Duties and Responsibilities
- Manage complex executive calendars, priorities, and scheduling with a proactive and strategic approach
- Prioritize emails, phone calls, and correspondence on behalf of executives
- Prepare and edit communications, memos, presentations, reports, and meeting materials
- Ensure executives are prepared for meetings, presentations, and engagements
- Coordinate meetings, agendas, and follow-up action items
- Coordinate travel arrangements and logistics
- Manage expense reports and minor accounting or administrative tasks
- Maintain accurate records, files, corporate documents, and reports
- Screen and direct phone calls, visitors, and correspondence
- Open, sort, and distribute incoming mail, emails, and other correspondence
- Manage office supply inventory and ordering for the enterprise
- Provide general administrative support to executive leadership
- Anticipate needs and proactively remove friction
- Ensure executives are prepared for all meetings and engagements
- Coordinate travel and logistics with precision
- Coordinate Board and governance meetings end-to-end, including agendas, materials, and logistics
- Assemble and distribute Board packets within established timelines
- Research and compile data to prepare documents for Board members, committees, and executives
- Accurately record meeting minutes and track follow-ups and action items
- Maintain governance documentation and organizational records
- Coordinate Board meetings end-to-end (agenda, materials, logistics)

- Coordinate Leadership Team meetings, Level 10 (L10) meetings, and planning sessions
- Track Rocks, Scorecards, and leadership deliverables

- Prepare leadership summaries, reports, and meeting materials
- Help reinforce organizational priorities, communication cadence, and accountability
- Track key initiatives and strategic priorities on behalf of the CEO and COO
- Follow up on deliverables and ensure accountability across departments
- Support organizational projects and initiatives from concept through completion
- Conduct research, analysis, and information gathering to support executive decision-making
- Track business plans, pro formas, and new service or location initiatives
- Coordinate cross-functional projects and ensure alignment across teams
- Ensure meetings are structured and action-oriented
- Help bring organization, and process discipline to evolving priorities
- Serve as a primary point of contact for internal and external stakeholders
- Facilitate communication and alignment between stakeholders
- Coordinate and prepare materials for EOS, board meetings, physician meetings, and governance committees
- Help manage sensitive conversations and ensure follow-through on key decisions
- Facilitate communication and coordination between executives, physicians, leadership, vendors, and staff
- Draft and refine executive communications and organizational messaging
- Maintain professionalism, tact, and diplomacy in all interactions
- Handle confidential information with discretion and professionalism
- Reinforce organizational priorities, culture, and communication cadence
- Assist with change management initiatives such as site transitions, renovations, and workflow design
- Improve workflows, processes, and organizational systems
- Help drive engagement, accountability, and clarity across teams
- Support adherence to the organization’s mission, vision, and values
Minimum Qualifications
Education: Associate’s degree required; Bachelor’s degree preferred
Experience:
- 5–10+ years supporting senior leadership in healthcare, preferably in radiology or imaging services
- Experience supporting senior leadership and Board-level processes preferred
- Healthcare experience preferred, particularly in radiology or imaging services
- Familiarity with EOS/Traction is a plus
Knowledge & Skills:
- Advanced computer skills including Microsoft Office Suite, email, reporting, and data management

Physical Demands: This position primarily requires the employee to remain in a seated, stationary position for extended periods while performing frequent keyboarding and computer operations. The role requires regular communication with internal and external stakeholders via phone, video, and in-person interactions. Occasional movement throughout the office is required, including standing, walking, and attending meetings. The employee may occasionally lift, carry, push, or pull items weighing up to 10–15 pounds. Working Conditions: This position operates in a professional office environment with a moderate noise level typical of office equipment such as computers, printers, and normal office traffic.
