Overview
We are seeking an energetic and highly organized Executive Assistant to support our leadership team. This vital role involves managing complex schedules, coordinating projects, and providing exceptional administrative support to ensure smooth daily operations. Duties
- Provide administrative and operational support to the CEO and other members of management, including document preparation, communications, and coordination
- Manage scheduling, logistics, and travel planning for the CEO as needed
- Track and manage open items across departments to ensure timely follow-up and resolution
- Follow up persistently with internal teams to close loops and ensure accountability
- Provide clear, concise summaries and updates to the CEO on key items
- Ensure all inbound calls are answered, routed appropriately, and followed up on
- Monitor missed calls and identify breakdowns in communication flow
- Coordinate vendors and handle logistics for business-related activities
- Assist with occasional personal logistics for the CEO while maintaining strict confidentiality
- Own and execute routine and administrative tasks to free CEO bandwidth
- Maintain a running list of priorities, action items, and outstanding tasks
- Improve communication flow and establish accountability for responsiveness across teams
- Identify inefficiencies and take ownership of recurring coordination-heavy processes
- Standardize and improve systems and processes over time
- Act as a proactive partner by anticipating needs and addressing issues before they arise
- Maintain professionalism and strict confidentiality with all information and materials
- Ensure high responsiveness and availability in support of executive needs
- Complete any additionally assigned projects.
Requirements
- BA/BS Degree in related field plus 5-7 years of relevant experience.
- Energetic, forward thinker and creative with high ethical standards and an appropriate professional image.
- Ability to effectively handle multiple tasks in a fast-paced environment.
- Strong problem solving and decision-making skills.
- Excellent time management, organization, and communications skills; oral, written and telephone.
- Knowledge of Salesforce, the ERP System NetSuite a plus.
- Well organized and self-directed.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and Teams
- Exceptional communication skills with professional phone etiquette and customer service experience.
- Ability to handle confidential information discreetly while demonstrating high levels of professionalism.
Pay: $70,000.00 - $80,000.00 per year
