Dimmick Group Management is seeking a highly organized, proactive Executive Assistant with strong accounting and QuickBooks experience to provide direct support to the owner of the company. This role is ideal for someone who thrives in a fast‑paced environment, enjoys wearing multiple hats, and can seamlessly shift between executive support and hands-on bookkeeping responsibilities.
You will manage the owner’s day-to-day administrative needs while also handling accounting functions for several smaller entities within the owner’s portfolio.
Key Responsibilities
Executive Support
Manage and organize the owner’s email inbox, ensuring timely responses and prioritization.
Assist with daily administrative tasks, scheduling, calendar management, reminders, and task follow-ups.
Prepare documents, reports, presentations, and other materials as needed.
Act as a gatekeeper and point of contact on behalf of the owner.
Accounting & Bookkeeping
Handle bookkeeping for multiple small entities using QuickBooks, including:
Accounts payable and receivable
Bank and credit card reconciliations
Expense tracking
Invoicing and payment processing
Maintain accurate financial records and ensure timely data entry.
General Support for Owner’s Entities
Assist with miscellaneous projects or administrative needs for smaller business ventures.
Coordinate and track renewals, filings, and other compliance-related tasks.
Support vendor communication, document organization, and filing systems.
Qualifications
2+ years of experience as an Executive Assistant, Administrative Assistant, or similar role.
Strong accounting and bookkeeping skills, specifically with QuickBooks (Online and/or Desktop).
High level of professionalism, discretion, and attention to detail.
Excellent organizational and time-management abilities.
Strong written and verbal communication skills.
Ability to work independently, anticipate needs, and manage multiple priorities.
Proficiency with Microsoft Office and/or Google Workspace.
Preferred Skills
Experience supporting a business owner, senior leader, or entrepreneur.
Familiarity with handling financials for multiple entities.
Comfort working in a dynamic, evolving business environment.
