Executive Assistant

Requirements:

Key Responsibilities & Duties

  • Calendar Management: Scheduling meetings and calls.
  • Communication Management: Screening, answering, and directing emails and phone calls, and drafting correspondence.
  • Travel Coordination: Booking domestic/international travel, including flights, hotels, and transportation, along with detailed itineraries. Assist with event planning, board meetings, or leadership offsites as required.
  • Information Management: Preparing reports, presentations, and, in some cases, taking meeting minutes.
  • Liaison: Acting as a liaison between the executive and staff/clients
  • Special Projects: Managing special projects.
  • Operational Support: Performs additional office management tasks as directed. Supports other members of the leadership team as directed. Provide backup reception/clerical support as needed. Handle other administrative tasks as needed.
  • Confidentiality: Maintaining strict confidentiality regarding sensitive company information.

Required Skills and Qualifications

  • Proficiency in Technology: Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Project) and, calendar management, software.
  • Communication Skills: Strong written and verbal communication abilities.
  • Organizational Skills: Exceptional organizational and time-management skills.
  • Experience & Education: Proven experience as an Executive Assistant or in a similar senior administrative role.
  • Soft Skills:
    • High emotional intelligence, discretion, and the ability to anticipate executive needs and proactively address issues before they arise.
    • Ability to manage competing priorities with minimal supervision
    • Strong attention to detail, follow-through and time management.

Work Environment

  • This is an office position. The company operates during normal business hours.
