POSITION SUMMARY:

Provide support to the Chief Operating Officer, Senior Vice President, People Services, and Marketing Leadership. This position is responsible for managing weekly meeting logistics of executives, working in close partnership with the executives managing daily details to keep their days moving efficiently. The position will keep communication open both internally and externally and prioritize conflicting needs in a very fast-paced and high-pressure environment, allowing them to stay on track, making decisions with high organizational impact.

Key Responsibilities

Provides direct administrative support to listed executives with responsibilities including, but not limited to:

  • Plans, coordinates, and manages executives’ schedules to maximize use of time. Prioritizes and handles matters quickly and efficiently. Sets up meetings internally as well as externally with high-level executives and investors, professionally representing the company.
  • Acts as the first point of contact for external phone calls, voicemails, and visitors, controlling those to be handled by the executive and minimizing the time they spend on logistical details.
  • Prepares collateral and presentations for specific projects as needed.
  • Manages mail and email as directed.
  • Provide backup support to the CEO’s Executive Assistant during vacations and as needed outside of regular business hours, including handling urgent matters such as travel changes and other time-sensitive administrative tasks.
  • Communicates directly and on behalf of the executive with others as directed, providing effective and timely communication.
  • Coordinates travel as directed.
  • Composes and prepares correspondence that is at times highly confidential and sensitive.
  • Manages logistics for large- and small-scale meetings on behalf of executives, including agenda management and distribution, scheduling of bi-weekly meetings for each, off-site retreats as needed, including selection and booking of venues, assist with materials as needed.
  • Plan, coordinate, and execute corporate events across the organization, including the annual holiday party, company-wide meetings, town halls, and other employee engagement events.
  • Research, compile, and analyze data for cycled administrative items (e.g., expense reports) and special projects; prepares routine reports and summarizes for executives as directed. Often tracks and keeps the executive on track with project deadlines.
  • 3–5 years of high-level Administrative or Executive Assistant experience
  • Advanced proficiency in Microsoft Office, Outlook, and cloud-based systems; strong ability to learn new technology
  • Exceptional organizational, prioritization, and attention-to-detail skills with the ability to manage multiple deadlines
  • Strong communication skills (verbal and written) and professional presence when interacting with executives and stakeholders
  • Ability to work independently, make sound decisions quickly, and thrive in a fast-paced environment
  • Collaborative team player with experience supporting leadership and coordinating with cross-functional staff
  • Experience managing complex calendars, travel, and meeting logistics
  • Event planning experience, including coordination with venues, hotels, and vendors
  • High level of discretion, critical thinking, and adaptability under pressure
  • Experience in real estate or construction industry preferred
