We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive administrative support to senior leadership. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional organizational skills, and possess a proactive attitude to anticipate needs and streamline processes. This role is equal parts organization, anticipation, and follow-through—with a dash of warmth and patience, especially around kids.
Responsibilities
- Own the doctors’ schedules: manage calendars, meetings, deadlines, travel, and priorities with precision. This can include helping facilitate childcare transfers and activities, as well as the overall day to day life of the doctors.
- Control office flow: anticipate bottlenecks, manage timing, and keep the day on track when things shift (because they will)
- Be the communication hub between doctors, leadership, staff, vendors, and external partners.
- Prepare, organize, and follow through on action items, documents, and decisions.
- Protect focus: filter distractions, flag what actually matters, and handle issues before they escalate.
- Support operational projects as needed—this role flexes with the practice.
Requirements
- Proven experience as an executive assistant or in a similar administrative role with at least one year of office management or clerical experience.
- Strong proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Exceptional typing speed combined with keen proofreading skills to produce error-free documents swiftly.
- Experience in event planning and project coordination.
- Superior communication skills including phone etiquette and customer service experience to interact professionally with diverse stakeholders.
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
- Knowledge of multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and general computer literacy are essential.
