We're looking for a sharp, highly organized Executive Assistant to cover a maternity leave — with the real possibility of growing into a permanent role for the right person. The Role

We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to our executive leadership team. This vital role involves managing complex calendars, coordinating projects, handling correspondence, and ensuring smooth office operations. The ideal candidate will demonstrate exceptional organizational skills, proactive problem-solving abilities, and a positive attitude to help drive efficiency and productivity across the organization. This paid position offers an exciting opportunity to be an integral part of a fast-paced, forward-thinking environment.

This position begins as maternity leave coverage but has strong potential to become a permanent position. You'll work directly with the owner on a daily basis, managing the details that keep the business moving.

What You'll Do

  • Manage the owner's calendar, appointments, and daily priorities
  • Serve as the first point of contact for clients, vendors, and subcontractors
  • Coordinate scheduling across active remodel and restoration projects
  • Handle invoicing, estimates, and basic bookkeeping (QuickBooks experience a plus)
  • Organize and maintain project documents, contracts, and permits
  • Track job timelines and follow up on outstanding items
  • Assist with vendor sourcing, material orders, and supplier communication
  • Handle miscellaneous personal and business errands as needed
  • Advertise via social media posting

What We're Looking For

  • 2+ years of experience as an executive assistant, office manager, or similar role
  • Experience in construction, contracting, or real estate strongly preferred
  • Excellent written and verbal communication skills
  • Highly organized with strong attention to detail
  • Comfortable working independently and taking initiative
  • Proficiency in Google Workspace or Microsoft Office; QuickBooks a plus
  • Ability to handle confidential information with discretion
  • Valid driver's license required
