Duties
- Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
- Coordinate and organize company events, meetings, and conferences from planning stages through execution, ensuring all logistics are handled seamlessly.
- Provide executive administrative support including data entry, filing, proofreading documents, transcription, and preparing reports.
- Handle phone etiquette with multi-line phone systems, screen calls, take messages, and direct inquiries appropriately.
- Oversee office management tasks such as supply ordering, facility maintenance coordination, and front desk responsibilities to ensure a professional environment.
- Utilize QuickBooks for basic bookkeeping tasks including invoicing, expense tracking, and financial record keeping.
- Assist with project coordination by tracking deadlines, preparing materials, and following up on action items to ensure timely completion of initiatives.
Skills
- Proven experience in office management, administrative support or personal assistant roles with a strong background in clerical duties.
- Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and data entry systems.
- Strong typing skills combined with transcription and proofreading abilities to produce accurate documents swiftly.
- Excellent customer service skills with professional phone etiquette across multi-line phone systems.
- Experience with office software such as DocuSign for electronic signatures and QuickBooks for bookkeeping functions.
- Demonstrated ability to handle confidential information discreetly while maintaining high levels of accuracy in data entry and filing.
