Executive Assistant

Job Summary
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive administrative support to our leadership team. Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate appointments using Microsoft Outlook Calendar and Google Workspace tools.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with precision and attention to detail.
  • Organize and coordinate events, meetings, and travel arrangements to ensure seamless execution.
  • Handle incoming calls with professional phone etiquette, direct inquiries appropriately, and maintain multi-line phone systems.
  • Oversee office management duties including filing, data entry, and maintaining organized records.
  • Provide executive administrative support by managing email correspondence, tracking deadlines, and following up on action items.
  • Assist with project coordination tasks by tracking progress, preparing agendas, and supporting team collaboration efforts.
  • Perform clerical duties such as photocopying, faxing, filing, and managing office supplies inventory.
  • Support personal assistant responsibilities as needed to facilitate executive needs efficiently.

Experience

  • Proven experience as an executive assistant or in a similar administrative role with a strong background in office management.
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
  • Experience with bookkeeping software such as QuickBooks and digital signature platforms like DocuSign.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Strong typing skills combined with proofreading and transcription expertise for accurate document preparation.
  • Exceptional customer service skills with professional phone etiquette across multi-line phone systems.
  • Familiarity with project coordination tools and techniques to support team initiatives.
  • Office experience including front desk responsibilities, filing systems, and clerical support functions.
