Executive Assistant

Job Summary
We are seeking a proactive and highly organized Executive Assistant to support our leadership team in achieving operational excellence. Duties

  • Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with precision and clarity.
  • Coordinate projects by tracking deadlines, organizing meetings, and ensuring timely completion of deliverables.
  • Handle incoming calls with professionalism, utilizing multi-line phone systems and practicing excellent phone etiquette.
  • Assist with event planning for company functions, meetings, and special occasions to ensure seamless execution.
  • Oversee office management tasks such as filing, data entry in QuickBooks or other bookkeeping software, and maintaining organized records.
  • Provide personal assistant support including managing personal schedules, handling confidential information, and performing errands as needed.

Requirements

  • Proven experience as an executive assistant or in a similar administrative role with office management responsibilities.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems like QuickBooks.
  • Exceptional typing speed combined with transcription and proofreading skills for accurate document preparation.
  • Experience with project coordination, event planning, bookkeeping, and office management is highly desirable.
  • Outstanding communication skills with a professional demeanor suitable for customer service and front desk interactions.
  • Familiarity with office equipment such as multi-line phone systems and Docusign for electronic signatures is preferred.
