We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our President/COO & CEO. This is a role for an individual who thrives in a fast-paced, high-responsibility environment and has a true talent for managing details with precision.
Responsibilities
- Provide high-level administrative support
- Manage and prioritize a dynamic calendar of meetings, events, and travel
- Coordinate internal and external communications and serve as a liaison with staff, partners, and clients
- Prepare and organize reports, presentations, meeting materials, and executive briefings
- Attend key meetings, take detailed notes, and ensure timely follow-up on action items
- Assist with project management, operations, and special assignments as needed
- Handle confidential information with integrity and discretion
- Anticipate needs and proactively resolve administrative and logistical issues
- Support personal and business-related tasks as required
- Organize and maintain digital and physical files, ensuring easy access and accuracy
- Prepare agendas, take detailed meeting notes, and distribute action items to relevant parties
- Support operational needs such as data entry, research, and report generation
- Learn and utilize new technologies, tools, and systems to improve efficiency and workflows
- Provide ongoing technology support for executives, including troubleshooting Zoom, audio/visual tools, software, and devices to ensure seamless daily operations
Qualifications
- Proven experience as an Executive Assistant or in a similar high-level administrative role
- Strong written and verbal communication skills
- Ability to adapt quickly, solve problems, and stay calm under pressure
- Experience in operations, HR, or project management is a plus
- A can-do attitude with a willingness to take initiative and grow
- Exceptional attention to detail with outstanding proofreading and editing skills
- Strong organizational skills with the ability to manage multiple priorities under tight deadlines
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and willingness to learn new tools and platforms
- Tech-savvy, resourceful, and adaptable
- High level of professionalism, discretion, reliability and judgment
- Self-starter with a strong ability to anticipate needs and take initiative
- A collaborative spirit with the ability to work well as a team player, contributing positively to company culture
