Executive Assistant

The Role
We are seeking a high-caliber, multilingual Executive Assistant to operate as a strategic partner to senior leadership, combining executive support with analytical thinking, systems building, and business problem-solving capabilities. This is not a traditional EA role. The successful candidate will function as a hybrid of: * Executive Assistant * Business Analyst * Operator / Junior Chief of Staff You will be deeply embedded in both business and personal workflows, acting as a force multiplier for executive decision-making, structuring ambiguity, and driving execution through data, systems, and proactive ownership. The ideal candidate holds an MBA or strong analytical degree, has project management experience, and thrives in high-performance, multicultural environments. Key Responsibilities Executive Leverage & Administration • Own and manage the Director’s calendar as a strategic asset, prioritizing based on ROI and impact • Act as a gatekeeper for communications and decision flow • Prepare and review high-level correspondence, reports, and presentations • Handle confidential and sensitive matters with utmost discretion • Integrate and manage both professional and personal scheduling seamlessly Analytical & Decision Support (Key Differentiator) • Conduct structured research on markets, companies, and investment opportunities • Prepare: - Briefing notes - Business summaries - Decision memos • Translate complex data into clear, actionable insights • Build simple models, frameworks, and structured outputs to support decision-making Systems, Tools & Process Optimization • Design, implement, and optimize workflows across: - Email, calendar, CRM, and task management systems • Build dashboards and trackers using: - Notion, Excel, Airtable, or similar tools • Utilize AI tools (e.g., ChatGPT, automation platforms) to: - Draft communications - Summarize data - Accelerate research • Identify inefficiencies and automate repetitive processes Project & Execution Management • Track strategic initiatives and ensure execution momentum • Coordinate across cross-functional teams and stakeholders • Translate ideas into structured execution plans • Ensure timelines, deliverables, and priorities are met Communication & Output Management • Draft high-quality: - Emails - Investor communications - Internal memos and reports • Prepare meeting agendas, briefs, minutes, and follow-ups • Maintain clear, concise, and executive-level communication standards Travel, Events & Lifestyle Integration • Manage complex international travel and logistics • Coordinate meetings, leadership events, and executive engagements • Handle personal matters with professionalism and confidentiality • Align personal and business priorities across time zones

Requirements
Education • MBA (Business / Finance) – Strongly Preferred OR Degree in: • Mathematics • Engineering • Computer Science • Business / Finance • Commerce Experience • 3–6 years in: • Executive support to senior leadership • Consulting / investment / startups / operations • Experience in project management and business analysis is required • Prior experience with Athena or similar high-performance EA environments is a strong advantage Technical Skills Advanced proficiency in: • Microsoft Office / Google Workspace • Excel / Google Sheets (data handling & analysis) • Experience with: • Notion / ClickUp / Asana / Airtable / CRM tools • Familiarity with: • AI tools and workflow automation • Basic no-code / systems thinking (preferred) Communication & Language Skills • Multilingual preferred • Fluent in English (business-level proficiency required) • Strong written and verbal communication skills • Ability to synthesize complex information clearly Core Competencies • Strategic thinking and structured problem-solving • High level of ownership and accountability • Ability to manage multiple priorities simultaneously • Strong analytical and decision-support capability • High attention to detail and excellence • Discretion, professionalism, and integrity • Proactive mindset (anticipates vs reacts) What Differentiates This Role • You will drive decisions, not just support them • You will build systems, not just manage tasks • You will operate as a junior Chief of Staff / strategic operator • Exposure to high-level decision-making and business strategy Success Metrics • Increase in executive time spent on high-value activities • Speed and quality of decision support • Reduction in operational inefficiencies • Quality of output (reports, briefs, communication) • Ability to independently manage workflows and priorities
