Executive Assistant

Duties

  • Provide comprehensive calendar management, scheduling meetings, appointments, and travel arrangements for executives
  • Handle incoming calls using multi-line phone systems with professionalism and courtesy, directing inquiries appropriately
  • Manage front desk responsibilities, greeting visitors and ensuring a welcoming environment
  • Perform data entry, filing, and document proofreading to maintain accurate records and correspondence
  • Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Coordinate office supplies procurement, organize files, and oversee general office maintenance to ensure a productive workspace
  • Offer exceptional customer service support by responding promptly to inquiries via phone or email in bilingual capacity if applicable

Qualifications

  • Proven experience as an executive assistant, office manager, or in a similar administrative role with clerical experience
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Demonstrated phone etiquette and customer support skills across multi-line phone systems
  • Bilingual abilities are highly desirable to assist diverse clients and team members
  • Experience with office management tasks such as filing, proofreading, calendar management, and personal assistant duties preferred
  • Knowledge of medical or dental receptionist procedures is a plus but not required
