Quantive is a boutique advisory firm serving lower middle market companies ($3–15M EBITDA) across three integrated practice areas: sell-side M&A advisory, business valuation, and the Business Performance Group (BPG) — a proprietary exit-preparation program built around our Five Transformations framework.

Founded in 2011, we work with business owners through the full arc of value creation: from valuation, to transformation, to transaction, to wealth management. Our clients are serious operators preparing for eight- and nine-figure exits. Our work is confidential, high-stakes, and relationship-driven.

We are headquartered in Tysons Corner, VA and serve clients nationwide, with approximately half our client base in the Mid-Atlantic region.

About the Role

We are hiring an Executive Assistant to support our Founder directly. This is not a generalist admin role — it is a trusted operating partner position supporting a founder who splits his time across M&A deal execution, client advisory, business development, and firm leadership.

The right person will become the organizational backbone of the Founder's day: owning the calendar, triaging the inbox, coordinating travel and client logistics, and handling the financial and administrative tasks that keep the business running. You will be exposed to highly confidential information — deal correspondence, client strategy, and firm operations — and will be trusted to handle it with discretion.

This is a part-time role (20–30 hours/week) structured around a hybrid schedule. You will be expected in our Tysons Corner office at least one day per week (Wednesday preferred) to maintain face-to-face working rhythm with the Founder and broader team. The remainder of the work can be performed remotely.

What You'll OwnCalendar & Scheduling

  • Full management of the Founder's calendar across client meetings, deal calls, sponsor coverage, internal ops, and personal commitments
  • Coordination of meeting logistics — agendas, dial-ins, prep materials, follow-up tracking
  • Proactive calendar defense: protecting deep work blocks, gym time, and travel buffer
  • Coordination with clients, buyers, PE sponsors, attorneys, and internal team members

Inbox Triage & Correspondence

  • Daily triage of the Founder's inbox — routing, flagging, and drafting responses per established protocol
  • Autonomous handling of routine correspondence (scheduling, vendor, acknowledgments, internal ops)
  • Drafting responses for Founder review on client- and business-facing communications
  • Identifying and flagging urgent items, missed follow-ups, and recurring patterns

Travel & Expenses

  • End-to-end travel coordination — flights, hotels, ground transport, itineraries
  • Expense report preparation and submission
  • Reconciliation with corporate credit card and receipts

Financial Operations Support (Light)

This is not a bookkeeping role. You'll handle simple transactional and coordination work:

  • AR follow-up coordination and routing
  • AP approval routing and vendor payment coordination
  • Payroll coordination with accounting (approvals, timing, exceptions)
  • Light QuickBooks Online interaction (data entry, routing)
  • Expense reconciliation against corporate credit card and receipts

Meeting Prep & Follow-Up

  • Preparation of briefing materials for client and prospect meetings
  • Capture and distribution of meeting notes / action items where appropriate
  • Follow-up tracking to ensure commitments are kept on both sides

Administrative & Ad Hoc

  • Document preparation and light editing (Word, PowerPoint, Excel)
  • Coordination with internal team members on Founder's behalf
  • Office space coordination
  • Special projects as they arise

Light Personal Support (De Minimis)

This is not a personal assistant role. However, a small portion of time (expected <10% of hours) may include light personal logistics — things like scheduling a dog walker, booking a personal appointment, or coordinating personal travel alongside business travel. Clearly scoped, clearly bounded, and not the focus of the role.

This role is structured with clear information boundaries. Certain sensitive categories of the Founder's work are handled on separate systems and are not part of this position's scope.

Who You Are

Required

  • 5+ years supporting a senior executive, founder, partner, or principal in a professional services environment (law firm, investment bank, PE/VC, consulting, accounting, or similar)
  • Exceptional discretion — you have held sensitive information before and handled it without incident
  • Strong written communication — you can draft a professional email in the Founder's voice after a short ramp period
  • Microsoft 365 fluency — Outlook, Word, Excel, PowerPoint, Teams, OneDrive/SharePoint
  • Calendar mastery — you can manage a complex, multi-stakeholder calendar across time zones with competing priorities
  • Proactive, not reactive — you anticipate what's needed before being asked
  • Ability to commute to Tysons Corner at least one day per week
  • Willingness to sign an NDA and undergo a background check as conditions of employment

Preferred

  • Prior experience in M&A, investment banking, private equity, legal or similar professional services
  • Familiarity with Salesforce, QuickBooks Online, or similar business systems
  • Experience managing AR/AP workflows
  • Experience coordinating with external legal counsel, CPAs, or fiduciary advisors
  • Bachelor's degree

Schedule & Working Model

  • 20–30 hours/week, mutually agreed based on candidate preference and business need
  • In-office requirement: minimum one day/week at our Tysons Corner office (Wednesday preferred)
  • Remaining hours remote, aligned to core business hours (ET)
  • Some flexibility in daily schedule, but availability during standard business hours is expected
  • Our broader team operates on a Tuesday–Thursday hybrid schedule; you'll have overlap with the full team on your in-office day

Compensation & Benefits

  • $45–55/hour (approximately $55–70K annualized at 25 hrs/week), commensurate with experience
  • W-2 part-time employment
  • Paid time off (pro-rated)
  • Eligibility for other benefits per firm policy
  • Annual performance review with compensation adjustment

This role requires access to highly confidential business information including M&A transactions, client engagements, and financial records. As a condition of employment:

  • Signed NDA required on day one
  • Background check required pre-employment
