Executive Assistant

We are one of the 22 group companies of Kibar Holding and started to operate in 1990 in Tuzla.

We are looking for a Executive Assistant to join our team in our company, located in Tuzla.


Qualifications

  • Graduated from undergraduate departments of universities,
  • At least 3 years of Executive Assistant experience in corporate companies of General Manager or Deputy General Manager level,
  • Able to use MS Office applications effectively,
  • Able to think analytically, work dynamically, fluently and result-oriented,
  • Paying attention to details, adopting meticulous, careful and well-organized working as a principal,
  • Having planning and organizational skills, providing professional support for efficient and effective use of time,
  • Strong communication level, able to act diplomatically, being the first contact between the General Manager with his business partners, company and external connections,
  • Fluent in English.


Job Description

  • To make the necessary organizations related to meetings, presentations and travels (hotel, flight, transfer, visa, passport reservations, meal organizations, etc.) of the GM and senior executives deemed appropriate by the GM.
  • To ensure that the costs are kept at the lowest level by planning in advance as much as possible in organizations that require multiple participation such as fairs, conferences and workshops.
  • Managing agenda, meeting, mail and telephone traffic,
  • To provide the administrative support needed at the GM level at the highest level, to be aware of the need for confidentiality and restraint brought by this level, to fulfill its requirements.
  • Finalizing presentations, reports and other necessary documents in corporate format professionally, and making them ready for distribution.
  • Searching internet, data banks, external resources on the subjects that GM wants to investigate and reporting the findings in an effective & analytical way,
  • Issues affecting daily employee motivation, being an observer and listener in the follow-up of taking actions, ensuring that the GM's level of knowledge is high.
  • Taking notes in meetings, publishing when requested,
  • To follow GM's vehicle maintenance-repair processes.
  • Keeping the GM's contact list up to date.
  • Registration and payment follow-up to the institutions of membership.
  • Entries and follow-up of accounting (expense, advance, payment) transactions,
  • Preparation of announcements by communicating with the agency,
  • Preparation of the format and informing for the regular celebration of the birthdays of the employees and other key people requested by the GM,
  • Making important day reminders, sending gifts.
