The Executive Assistant will serve as a critical support partner to senior leadership, ensuring seamless management of their professional and administrative needs. This role involves coordinating complex calendars, arranging travel logistics, and preparing detailed presentations to facilitate effective decision-making. The Executive Assistant acts as a liaison between executives and internal or external stakeholders, managing communications and scheduling to optimize time and productivity. By anticipating the needs of the executives, this position contributes to the smooth operation of the leadership team and the broader organization. Ultimately, the Executive Assistant enables executives to focus on strategic priorities by handling essential administrative functions with discretion and professionalism.

Minimum Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role supporting senior executives.
  • Proficiency in Microsoft Office Suite, including Word, PowerPoint, and Outlook.
  • Strong organizational and time management skills with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.

Preferred Qualifications:

  • Experience working in a fast-paced corporate environment within the United States.
  • Familiarity with travel booking platforms and expense management software.
  • Advanced skills in Microsoft PowerPoint for creating impactful presentations.
  • Certification in administrative assistance or executive support (e.g., Certified Administrative Professional).
  • Demonstrated ability to work independently and proactively anticipate executive needs.

Responsibilities:

  • Manage and maintain complex executive calendars, scheduling meetings, appointments, and events with attention to detail and priority alignment.
  • Coordinate all aspects of domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Prepare, edit, and format presentations and documents using Microsoft PowerPoint and Word to support executive meetings and communications.
  • Arrange and facilitate meetings by coordinating logistics, preparing agendas, taking minutes, and following up on action items.
  • Provide general administrative assistance such as handling correspondence, managing expense reports, and maintaining confidential files.
