Executive Assistant to Multi‑Business Owner

Part-Time | On-Site | Huntsville, AL

Summary

The Executive Assistant will serve as the right hand to a high‑performing entrepreneur who owns and operates companies across commercial real estate, automotive repair, construction, and private lending. This role requires exceptional organization, business intuition, and the ability to manage complex, fast-moving priorities. The ideal candidate thrives in a dynamic environment, communicates with confidence, and can anticipate needs before they arise.

Key ResponsibilitiesExecutive Support & Operations

  • Manage the owner’s daily schedule, appointments, travel, and communications across all business entities.
  • Prioritize incoming requests, emails, and calls, ensuring timely follow-up and clear communication.
  • Prepare meeting agendas, take detailed notes, and track action items to completion.
  • Maintain confidentiality and handle sensitive information with discretion.

Commercial Real Estate (CRE) Support

  • Assist with property management tasks, lease tracking, and tenant communications.
  • Coordinate due diligence, inspections, and document collection for acquisitions and dispositions.
  • Maintain organized digital files for properties, contracts, and financial documents.

Construction Business Support

  • Assist with project scheduling, subcontractor coordination, and permit tracking.
  • Maintain project files, budgets, and timelines.
  • Support procurement of materials and ensure documentation is complete and organized.

Private Lending Support

  • Track loan applications, payments, renewals, and compliance documentation.
  • Prepare loan summaries, term sheets, and communication with borrowers.
  • Maintain accurate records of active loans, collateral, and payment schedules.

Administrative & Strategic Support

  • Conduct research, prepare reports, and create presentations as needed.
  • Improve systems, processes, and workflows across all businesses.
  • Handle personal tasks and errands to free the owner’s time for high‑level decision-making.
  • Serve as a liaison between the owner and internal/external stakeholders.

Qualifications

  • Exceptional organizational skills and the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office, Google Workspace, and project management tools.
  • Ability to work independently, exercise judgment, and anticipate needs.
  • High integrity, professionalism, and commitment to confidentiality.

Pay: $18.00 - $24.00 per hour
