We are seeking a highly organized, proactive, and discreet Executive Assistant to the CEO of a growing, multi-location dermatology practice. This role supports a physician-executive and requires exceptional attention to detail, sound judgment, and the ability to manage both professional and limited personal administrative tasks with confidentiality and efficiency.
This position is ideal for someone who thrives in a fast-paced healthcare environment, anticipates needs, and brings calm, structure, and excellence to executive support.
Key Responsibilities
Executive & Business Support
- Manage CEO’s calendar, scheduling, travel, and meetings
- Coordinate internal and external meetings (providers, leadership, vendors, partners)
- Prepare agendas, briefing materials, and follow-ups
- Screen and prioritize emails, calls, and correspondence
- Assist with presentations, reports, and light document preparation
- Liaise with clinic leadership, staff, and external stakeholders
Operational & Administrative Support
- Track tasks, deadlines, and action items across multiple initiatives
- Assist with event coordination (meetings, retreats, conferences)
- Support onboarding logistics, credentialing reminders, or licensing deadlines (as needed)
- Maintain organized digital files and records
Personal / Ad Hoc Support
- Handle limited personal administrative tasks as requested (travel coordination, scheduling, reminders)
- Run occasional errands or special projects requiring trust and discretion
Qualifications
- 3+ years experience as an executive or personal assistant (healthcare preferred)
- Exceptional organizational, time-management, and communication skills
- High level of discretion and professionalism
- Strong written communication and attention to detail
- Ability to anticipate needs and work independently
- Comfortable managing competing priorities in a dynamic environment
Preferred Skills
- Experience supporting a physician, CEO, or healthcare executive
- Familiarity with HIPAA-compliant environments
- Proficiency in Google Workspace, Microsoft Office, and scheduling tools
