Position Overview:
We’re seeking an organized, proactive, and personable Executive Assistant to support leadership while also helping manage and grow our social media presence. This role is ideal for someone who is highly organized, tech-savvy, and naturally outgoing, with strong communication skills both online and offline.
Key Responsibilities:
Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments
- Organize and respond to emails on behalf of executives
- Prepare agendas, take meeting notes, and track follow-ups
- Maintain organized digital and physical filing systems
Communication & Coordination
- Serve as a point of contact between leadership and internal/external partners
- Draft emails, reports, and presentations
- Handle confidential information with professionalism
- Coordinate across departments to keep operations running smoothly
Social Media & Outreach
- Manage social media correspondence (DMs, comments, outreach)
- Assist with social media engagement and lead generation efforts
- Represent the company voice in a professional and friendly way
- Help grow brand presence through consistent interaction
Travel & Logistics
- Book travel, accommodations, and transportation
- Prepare detailed itineraries
- Manage expense reports and reimbursements
Project & Task Management
- Track deadlines and ensure projects stay on schedule
- Follow up on priorities and deliverables
- Assist in planning and executing internal projects
Executive Support
- Anticipate needs and proactively solve problems
- Prepare materials for meetings and presentations
- Conduct research and summarize key insights
Qualifications
- Previous experience as an Executive Assistant or similar role preferred
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Social media savvy (Instagram, Facebook, etc.)
- Outgoing, extroverted personality with strong interpersonal skills
- Ability to multitask and adapt in a fast-paced environment
- High level of discretion and professionalism
- Proficiency with Google Workspace and common productivity tools
