Executive Assistant

Our client is a quasi- governmental agency that serves the Memphis area with support from both Mayors. The office is located downtown and is a highly visible organization. The agency is adding an Executive Assistant to support a very busy executive in all parts of the role. This position is technical, functional and political.

Duties Include:
  • Act as first point of contact for the executive and field calls and appointments as necessary while maintaining a professional and pleasant demeanor.
  • Provide full support for scheduling and making travel arrangements.
  • Create and maintain a variety of financial reports utilizing Excel.
  • Create and maintain presentations utilizing PowerPoint.
  • Receive and direct visitors.
  • Manage communication with staff by liaising with internal and external executives on various projects and tasks
  • Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
  • Support in managing, approving and processing expenses, invoices, etc.
  • General administrative duties (faxes, e-mails, shipping, filing, phone, reports, etc.).
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Create marcomms using Canva or similar software
  • Perform work related errands as required.
  • Support human resources for the office including vacation filing and records; possibly some payroll.
  • Special projects and other duties as assigned.

Minimum Qualifications:
  • College degree preferred; Associates will be considered
  • Two (2) years of related experience.
  • Must have proficiency in Microsoft Office – specifically MS Word, PowerPoint and Excel.
  • Good knowledge of cloud systems, online calendars and other related solutions
  • Ability to manage confidential information.
