Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide direct, day-to-day support to our company's owner. This is a high-trust, high-impact role for someone who thrives on anticipating needs, protecting the owner's time, and keeping the business moving forward. The ideal candidate is discreet, sharp, fast-moving, and equally comfortable managing a complex calendar, drafting professional correspondence, coordinating travel, and stepping in on personal tasks when needed. You will operate as a true extension of the owner — bringing structure, follow-through, and energy to everything you touch. Responsibilities
- Manage and maintain the owner's calendar with care — scheduling meetings, anticipating conflicts, and proactively protecting focus time
- Coordinate complex travel arrangements including flights, hotels, ground transportation, and detailed itineraries
- Serve as the primary point of contact and gatekeeper for the owner, handling phone calls, emails, and in-person requests with professionalism and discretion
- Draft, proofread, and send correspondence on the owner's behalf with a high standard of accuracy and tone
- Prepare meeting agendas, capture notes and action items, and follow up to ensure nothing falls through the cracks
- Handle expense reporting, receipts, and basic bookkeeping tasks using QuickBooks or similar tools
- Manage personal scheduling, appointments, and errands as needed to support the owner's day-to-day life
- Coordinate special projects, events, and gifts on behalf of the owner
- Maintain confidential files and records with strict attention to privacy
- Continuously look for ways to streamline workflows, save the owner time, and improve operational efficiency
Qualifications
- Proven experience as an Executive Assistant supporting a senior executive, founder, or business owner
- Exceptional organizational skills with the ability to juggle competing priorities in a fast-paced environment
- Outstanding written and verbal communication skills
- Strong proficiency in Microsoft Office Suite, Google Workspace (Gmail, Calendar, Drive), and modern productivity tools (Slack, Notion, or similar)
- Comfortable with travel coordination, expense management, and light bookkeeping (QuickBooks experience a plus)
- High level of discretion and emotional intelligence — you handle sensitive information with care
- Resourceful problem-solver who takes initiative and follows through without needing to be asked twice
- Calm under pressure with strong attention to detail
- Available to flex hours occasionally for time-sensitive needs
- Bilingual abilities are a plus
