The Northampton Housing Authority is seeking a detail-oriented and highly organized Executive Assistant to provide comprehensive administrative support to the Executive Director and staff. This critical role ensures smooth daily operations, regulatory compliance, and efficient communication across all departments of the Authority.
Key Responsibilities:
- Assist with RAFT application processing by gathering required documentation such as lease addendums and ledgers.
- Draft and manage correspondence with residents, staff, vendors, and IT service providers.
- Order office and maintenance supplies through vendors such as Staples, Uline, Amazon, and WB Mason.
- Prepare and distribute employee memos, ensuring understanding and obtaining necessary signatures.
- Compile and assemble monthly board packets for multiple housing authorities, maintaining compliance with state and federal regulations.
- Support Human Resources with hiring processes including interviews, new hire paperwork, and maintenance testing coordination.
- Contribute to the preparation and execution of the Authority’s Annual Plan.
- Monitor the Executive Director’s email daily and delegate or follow up as appropriate.
- Conduct final review and approval of 504 Reasonable Accommodation requests.
- Provide front-line administrative support: answering phones, greeting visitors, handling correspondence, and interacting with residents.
- Manage and safeguard confidential information with professionalism and discretion.
- Serve as the primary liaison for all IT service requests and collaborate with internal staff and external vendors for resolution.
- Organize and host resident meetings to share and gather feedback on state and federal housing plans.
- Demonstrate administrative expertise and strong communication skills in a fast-paced environment.

Pay: $24.00 - $27.00 per hour
