As we continue to expand, we are seeking a dependable and detail-oriented professional to join us in a key support role.

Position Summary

We are seeking a highly organized, multi-talented professional to take on a hybrid role spanning executive support, accounts payable, marketing assistance, and general administrative operations. This individual will work directly with our President, CEO, and Director of Operations and serve as a key contributor to the smooth day-to-day functioning of our office. The position is on-site at our San Ramon office and offers a clear pathway to a full-time role as the company continues to grow.

Key Responsibilities

*Executive & Administrative Support*

- Provide direct support to the President, CEO, and Director of Operations

- Assist with new hire onboarding and related administrative tasks

- Sort, organize, and distribute incoming mail; prepare outgoing mail and shipments

- File, scan, and organize physical and digital documents with precision

- Maintain office supplies, food and beverage stock, and overall office presentation

- Provide basic technical support to staff, including troubleshooting common Microsoft 365 issues

*Accounts Payable & Finance Support*

- Manage accounts payable processes

- Prepare and process bank deposits

- Build, maintain, and update spreadsheets to support financial and operational tracking

*Marketing & Design Support*

- Assist with light marketing initiatives, including content support, social media coordination, and basic design tasks

- Contribute creative ideas and help maintain a consistent brand presence

Required Qualifications

- Bachelor's degree or Associates degree

- Exceptional organizational and filing skills with strong attention to detail

- Proficiency in Microsoft 365, including Excel, Outlook, and Teams

- Working familiarity with AI tools such as Claude, ChatGPT, or Gemini

- Demonstrated ability to learn new tools, systems, and processes quickly

- Comfort performing basic technology troubleshooting

- Professional demeanor, strong written and verbal communication, and a proactive mindset

- Ability to reliably work on-site in San Ramon, Monday through Wednesday

Preferred Qualifications

- Background or experience in marketing, graphic design, or related creative work (Canva, Adobe Creative Suite, social media platforms, etc.)

Industry Experience

No prior mortgage industry experience is required. Training will be provided.
