Executive Assistant

We are looking for the executive assistant of our dreams to join our growing team and provide vital, high-level support to James Reynolds, the CEO, and senior-level team members. In this dynamic role, you will manage emails and calendars, coordinate seamless travel arrangements, process visas and insurance, handle invoicing, and ensure our office is an altogether great place to work.

You will act as the CEO's trusted shield by politely but firmly vetting internal and external requests to protect his time for high-impact focus, while also serving as a warm, high-touch point of contact for our VIP clients and brand partners to ensure they always feel incredibly valued.

Beyond day-to-day administration, you will be deeply woven into the operations and culture of our agency. You will attend leadership team syncs to capture key notes and track action items, gently but effectively holding department heads accountable to their deadlines. As a key connector for our people, you will draft and distribute agency-wide communications on behalf of the CEO to keep everyone aligned. Your negotiation skills will shine as you handle contracts and pricing with vendors and service providers, and your creativity will come alive as you plan vibrant in-house activities, celebrations, exciting special projects, and our annual conference that brings together 50+ team members from around the globe.

In this position, you will manage both in-office operations end-to-end and gain first-hand experience in digital marketing (SEO and PPC) while working alongside the region's leading specialists in their field.
